Purpose of Job
Provide comprehensive administrative, secretarial and office support services to ensure the effective and efficient operation of the team, enabling managers and employees to focus on core business activities.
Key Accountabilities
Administrative and Secretarial Support
- Manage day-to-day administrative and operational activities for the team.
- Coordinate meetings, prepare agendas and record accurate minutes.
- Manage managers' diaries, schedules and appointments.
- Compile, format and distribute reports, presentations, correspondence and other business documents.
- Ensure all documentation complies with company branding, formatting and quality standards.
- Maintain departmental filing systems, records, databases and document templates.
- Maintain and update reporting and distribution lists.
- Coordinate local and international travel, accommodation and related logistics.
- Organise and coordinate internal and external meetings, workshops, conferences and events.
- Log and monitor IT and operational service requests until resolution.
- Manage office supplies, stationery and procurement requests within budget requirements.
- Coordinate the receipt, dispatch and delivery of goods and services.
Building and Office Administration
- Act as the focal point for building-related administration and liaise with Real Estate Services, cleaning services and other support functions.
- Maintain a professional reception area and oversee conference room bookings.
- Coordinate office equipment maintenance and related service requests.
- Ensure notice boards and workplace communications remain current and professionally maintained.
Personnel and Team Administration
- Coordinate annual medical examinations and other employee administration activities as required.
- Prepare and issue acting appointment letters and related communications.
- Maintain SharePoint and other team information platforms where applicable.
- Support management with team communications and information requests.
- Liaise with relevant stakeholders on communication and administration matters.
- Maintain departmental schedules and rosters, including the WAM standby roster.
- Provide administrative support during periods of leave, peak workloads and special projects.
Leadership and Continuous Improvement
- Take responsibility for personal development and continuous learning.
- Coordinate Performance Partnership Agreement (PPA) discussions as requested by management.
- Identify and support opportunities to improve administrative processes and efficiencies.
Formal Qualification
Grade 12 / National Senior Certificate
Work Experience
- Minimum 3-5 years' experience in an administrative, secretarial, or Team Assistant role.
- Experience in diary management, document control and office administration.
Technical Skills
- Advanced Microsoft Office proficiency (Word, Excel, PowerPoint and Outlook).
- Strong administrative, organisational and document management skills.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Professional discretion and confidentiality.
